Understanding AutoPay

Autopay is a convenient way to manage your payments for durable medical equipment and supplies from Hart Medical. This guide explains how Autopay works, how to set it up, and why it’s an effective payment solution for managing medical expenses. We’ll also discuss its role in helping patients stay on track with equipment compliance, particularly for CPAP/BiPAP therapy.

How does Autopay Work? 

Autopay is the maximum amount that you agree to pay Hart Medical per month via your bank or credit card, on whichever day you choose, and ONLY if a balance occurs.  

You Choose the maximum amount, the day of the month, and the card or bank account to draw from. You can change any of those elements at any time from our payment portal on your mobile device.  

Hart Medical Equipment will determine your expected out-of-pocket costs associated with your equipment based on your Insurance.  You provide Hart Medical Equipment with your payment details (e.g., bank account or credit card information) and decide which day of the month you want to make payments. 

Once everything is set up, you don’t have to worry about paying those bills manually each time. Hart Medical Equipment will bill your Insurance payer for the equipment you received. Once your insurance determines your exact out-of-pocket costs and notifies Hart, we will notify you via email of the amount and date funds will be withdrawn. The agreed-upon amount is automatically taken out of your account on the scheduled dates. 

What does that mean?  

Let’s say you have chosen to pay $50 on the 15th of each month: 

On the day you selected: Payment Activity:                
15th Occurs, your account has no bill due Nothing is charged
15th Occurs, your account has a $100 balance  $50 is charged

CPAP/BiPAP Equipment and AutoPay

Most insurance providers require proof of continuous use in the first three months to pay for the rental of a PAP device; this is known as the compliance period.  Hart Medical Equipment monitors this usage to assist patients in their therapy and help them through the compliance period. This continuous and uninterrupted use of the PAP device is crucial for meeting the insurance company’s compliance requirements, which typically involve using the equipment for a minimum number of hours daily over a specified period. 

If compliance is met during the compliance period, the patient will be responsible for the copay portion of their equipment rental and supply orders. If compliance is not met, the patient is responsible for the full cost of the supplies and equipment. 

Patients will set up their AutoPay details in person at a retail/showroom location on the day of their setup appointment. Patients can manage their AutoPay details, such as changing the withdrawal date, amount, or payment method, through the portal or with the assistance of a Hart Team member. 

Reasons Autopay Makes Sense for Durable Medical Equipment 

Unlike the service you get at your local pharmacy counter, your durable medical equipment or supply claim will not be paid for weeks or months after you have received the item. Prior to service we give you our best estimate of what your benefit will cover, but insurance companies can often hold up or incorrectly pay your claims.   

Instead of making you liable for any costs you could incur up front, then wait weeks for your claim to be processed and a refund to be issued, we offer you Autopay. Agree to keep a method of payment on file and avoid having the insurance company’s processing timelines hold up your personal funds.  

Autopay is also a great way to make small payments on an expensive item like a CPAP Device or a Travel Concentrator. Our patient pay agents can help you set up an autopay to make manageable monthly payments, rather than hitting your budget for the total cost of the equipment upfront.
